SynBird Queue Management

Queue management and visitor flow software for councils

SynBird makes reception easier to run with queue management software and a built-in ticketing system. It handles arrivals with or without an appointment, issues tickets and directs each resident to the right service, while staff see visitor flows in real time to keep queues moving and waiting times down.

SynBird Queue Management

A modern way to manage queues and visitor flows, and to improve the experience of every resident who comes to see you

  • Know who is coming

Reception and front-line staff in councils and public services get detailed information about upcoming appointments, so they can plan the day and manage the queue.

  • A smoother visit for residents

With the day’s schedule and visitor details in hand, staff can manage arrivals through a virtual queue and keep waiting calm and orderly.

  • Modern reception hardware

Optional equipment such as self-service kiosks, LED displays, ticket dispensers and digital signage screens can be added to tailor your on-site reception.

Reception staff can add notes about the visitor in the tool. The officer handling the case sees them on screen and calls the resident when ready.

Step 1

Manage arrivals and organise the queue

Every visitor, with or without an appointment, checks in on arrival. They receive a ticket, digital or printed, confirming their place in the queue.

Benefit

Residents check in using whichever channel suits them. A ticket guarantees their place, and an estimated waiting time reduces frustration.

  • Call to desk
  • LED display
  • LED pager
  • Reception screen
  • Arrival at desk = appointment starts

The call appears on a screen in the reception area so the resident knows which desk to go to. The screen can also show videos, slideshows and information messages.
When the resident reaches the desk, the officer starts the appointment: a timer begins, new action buttons appear and the resident’s record is displayed.

Step 2

Call residents and direct them to the right desk

When it is their turn, the resident is called automatically to the right desk via an LED display, a reception screen or an audio signal.

Once the resident arrives, the officer starts the appointment in the tool. Each stage is recorded for accurate tracking and activity monitoring.

Benefit

Display equipment makes it easy for residents to find their way. From the desk, the officer opens the session with all the information needed to deal with the request efficiently.

  • Resident leaves = appointment closed
  • Next resident called to the desk

Once the request has been dealt with, the officer marks the appointment as completed in their session.

Step 3

Close the visit and call the next resident

At the end of the appointment, the resident leaves, the officer closes the appointment and the next person is called.

Benefit

Appointments follow on smoothly from the schedule. Managers track activity, appointment length and waiting times in the reporting tab.

  • Satisfaction survey sent
  • Results collected for continuous improvement

Closing the appointment triggers the survey, so residents can share their feedback straight away.

Step 4

Post-visit satisfaction survey

After the visit, a satisfaction survey can be sent to the resident automatically or manually.

Benefit

Results appear in the diary and can be exported, helping you fine-tune service quality and identify areas for improvement.
